RubyFinance · Accounting & invoicing

Invoicing that posts to a real ledger.

RubyFinance takes you from quote to cash to VAT return, with South African defaults and double-entry books underneath. Not a spreadsheet, and not a black box.

01Try it

Build an invoice in thirty seconds.

Change a quantity, switch between VAT-inclusive and VAT-exclusive prices, then send the invoice and watch the ledger postings appear. It's the same maths the product uses.

What RubyFinance posts

Nothing yet. A draft never touches the ledger. Send the invoice to see the double-entry postings.

Sample data only. Nothing you type here is saved or sent anywhere.

02What's inside

Everything between a quote and a VAT return.

One system for sales, purchases, banking and reporting, so the figures in your reports are the same figures on your invoices.

  • Quotes and invoices

Create quotes and invoices, send them, and generate PDFs. Choose tax-inclusive or tax-exclusive pricing for each document.

  • South African VAT

15% VAT by default and fully configurable. Tax is calculated per line and summarised by rate, so the numbers hold up.

  • Purchases and bills

Suppliers, purchase orders and supplier bills, with an approval step, part-payments and protection against overpaying.

  • Banking and reconciliation

Import bank statements from CSV, match each line to a payment or code it directly, and let bank rules suggest the coding.

  • A real double-entry ledger

Issuing and paying invoices posts balanced journals automatically, and a trial balance proves the books add up.

  • Reports you can rely on

Profit & loss, balance sheet, cash flow and a SARS VAT201 summary, all derived straight from the ledger.

03How it flows

From first quote to final return.

Every step feeds the next, and nothing has to be typed in twice.

  1. Quote

Send a quote and convert it to an invoice when it's accepted.

  2. Invoice

Issue it. RubyFinance posts receivable, sales and VAT to the ledger.

  3. Get paid

Record the payment and reconcile it against the bank line.

  4. Close the books

Run the trial balance, P&L and balance sheet at any time.

  5. File with confidence

Use the VAT201 summary for the period to prepare your return.
